Dental Devices is an axiUm+ module which allows you to scan the bar code of a dental device and associate it to a patient’s record. You can access the Dental Devices module from the EHR module > Dental Devices tab.
axiUm uses standard and non-stand bar codes to auto-populate device information. This includes:
- Device ID/Product code
- Batch/Lot number and serial number
- Manufacturing date and expiration dates
- HCT/P ID code
axiUm also pulls information from the Global Unique Device Identification Database (GUDID) and allows you to display additional data. This includes:
- GMDN preferred term name and device description
- Brand name and version model.
- Company name
- MRI safety information
- Label for natural rubber/latex
- Device size
Note: If the information is not available in the GUDID, you can manually enter the information for the dental device record.
Once added to the patient’s record, dental devices can be associated with treatment(s).
Note: Treatments must be configured to allow attachment of dental devices, have a status of I or C, and must be approved before they can be associated with a dental device.
Access
You can open the Dental Devices module using one of the following methods:
- Nav Panel: From the Nav Panel, under the Clinical Treatment, complete any of the following:
- Click the EHR menu-item or (
) icon and from the EHR window, click the Dental Devices tab.
- Click the drop-down arrow (
) and select the Dental Devices sub-tab.
- Menu Bar: From the Actions menu, select EHR and click the Dental Devices tab.
The Dental Devices tab displays.
Organization
The Dental Devices module is located in the EHR module > Dental Devices tab.
Within the Dental Devices tab, columns display information about each device including Entry Date, Site, Device ID, Expiration Date, etc.
Manage Dental Devices
The Dental Devices tab allows you to add new dental devices and manage existing devices on a patient record. You can sort the records by column header, add devices to the patient record, and review and manage existing device details.
To manage dental devices:

Select a patient and open the EHR module.

Click the Dental Devices tab and review the listed entries.
Tip: Select the Show Deleted checkbox to display any deleted records.

(Optional) Click a column header to sort the listed devices.

Review the listed entries as necessary.

To perform another task, complete any of the following:
View Devices

Double-click a listed entry to display the Patient Dental Device Information window.

Review the listed information and click OK.
Add Devices
Note: Not all devices have a unique serial number. If adding a device that has the same serial number as another device, a duplication warning message displays instead of an error.
- Click the Create a new Record (
) icon to display the Patient Dental Device Information window.
- Scan the device bar code.
The fields in the Dental Device Details area populate automatically.
Note: If the entered barcode is not included in the GUDID, the Manual Entry checkbox is enabled, allowing you to select the checkbox and enter the information manually.
Important: axiUm checks the GUDID each time this window is opened and will overwrite any previous information with the current information from the GUDID.
- Complete the fields as necessary and click OK.

To indicate this device has been removed from the patient’s mouth, select the Yes radio button and enter the removal date. |
Edit Device Details

Select a listed device and click the Edit Record ( ) icon to display the Patient Dental Device Information window.
Tip: You can also double-click the device record.

Edit the fields as necessary and click OK.
Note: The Bar Code field cannot be modified.
Delete Device Records
- Select a listed device and click the Delete Record (
) icon.
- When prompted, click Yes to confirm the deletion.
Note: If the device is attached to a treatment, the treatment is automatically detached when the device deleted. Similarly, if a treatment is deleted, it is automatically detached from any dental devices.
Attach Treatments to Devices

Right-click a listed device and select Attach Treatments to display the Select Treatments to Attach to Dental Device window.
Tip: You can also click the Add Tx button in the Patient Dental Device Information window.

Select one or more treatments to attach to the device and click OK.
Note: Devices can also be attached to a treatment in the Tx History tab by right-clicking a treatment and selecting Attach Dental Devices…
View Treatments on Devices

Right-click a listed device and select View Treatments to display the Treatments Attached to Dental Device window.
Tip: You can also click the View Tx button in the Patient Dental Device Information window.

Review the listed entries and click OK.
Note: Dental devices can also be viewed from the Tx History tab by right-clicking a treatment and selecting View Dental Devices…
Detach Treatments from Devices

Right-click a listed device and select Detach Treatments to display the Select Treatments to Detach from Dental Device window.

Select one or more treatments to detach from the device and click OK.
Note: Devices can also be detached from a treatment in the Tx History tab by right-clicking a treatment and selecting Detach Dental Devices…
Remove Devices

Complete the appropriate device removal procedure in axiUm and attach the dental device to the treatment.
The dental device record will automatically update and be marked as removed, with the current date/time as the removal date.
OR
- Edit the device record and manually select the Yes radio button for the Device Removal field and enter the appropriate removal date.
View Device History

Select a listed device and click the Show History ( ) icon to display the Patient Dental Device History Information window.
- Select a record to review the changes.
